Keep the funding and spending records

A crypto-funded purchase can involve a deposit, a wallet credit, a card load and a card payment. Keep those stages together when documenting a purchase. They describe the movement of the same funds rather than four unrelated expenses.

Record useful amounts and references

For funding, note the token, network, amount sent, date and transfer reference. For spending, keep the merchant receipt, currency, card transaction amount and any refund. The wallet history and card activity help connect these records.

Reconcile with completed activity

Pending amounts may change before completion. Use completed records for reconciliation and record later refunds against the original purchase. If you need documents for tax reporting, take these records to the person preparing your accounts; this guide covers record organization rather than tax treatment.
